Functions and responsibilities

The Administrative and General Affairs Department is an advisory unit to the Rector, responsible for organizing, implementing, and uniformly managing administrative and general affairs, as well as managing the school's facilities.

Administrative work

  • Responsible for developing and implementing regulations on administrative management, office administration, and document archiving.
  • Receiving and processing incoming and outgoing correspondence, documents, and confidential documents in accordance with current regulations.
  • Manage and use the seal in accordance with regulations.
  • Perform the authentication and photocopying of school documents and papers in accordance with regulations.
  • Issuing letters of introduction, travel permits, and verifying signatures for school staff; signing travel permits for visitors coming to work at the school.
  • Act as the focal point for organizing and implementing the quality management system according to ISO standards.
  • Responsible for organizing reception and ceremonial events (domestic); coordinating the organization of events, conferences, and seminars.
  • Manage and organize the use and decoration of reception rooms and halls.
  • Manage and operate the school's transportation services.

Compilation work

  • Develop and compile the school's monthly and annual work plans, as well as the weekly work schedules for the school's leadership.
  • Responsible for organizing statistical work; compiling reports on administrative and management tasks on a regular and ad hoc basis as requested by the Board of Directors.
  • Serving as secretary for briefing meetings; drafting reports and official documents; chairing the drafting and issuance of announcements and conclusions of the Rector at briefing meetings sent to various units.

Management

  • Develop and implement monitoring for investment, repair, and renovation construction projects.
  • Develop a plan for investing in equipment for the units within the School and submit it to the Principal for approval.
  • To advise on the organization, repair, use, and management of equipment, facilities, and landscaping within the School.
  • Manage the school's telephone, fax, and network infrastructure.
  • Managing and utilizing the electricity and water systems.
  • Classroom management.
  • Managing service facilities.
  • Managing land and property within the school premises.
  • Managing fire prevention and control, flood and storm prevention, environmental sanitation, and disease prevention.
  • Managing security operations within the school.
