Excerpt from Official Letter No. 1500/XHNV dated August 20, 2010, announcing the plan for organizing the conference of officials and employees at all levels for the 2010-2011 academic year.
I. Conference of officials and employees of the units
1. Content+ Listen to and discuss the unit's report summarizing the 2009-2010 school year and its plans for the 2010-2011 school year; + Contribute opinions to the draft report of the Board of Directors on the results of implementing the Resolution of the Staff Conference for the 2009-2010 school year and the plan for the 2010-2011 school year; + Elect delegates to attend the School Staff Conference.
- Elections will be held based on a ratio of 1/2 of the total number of staff members on the payroll, labor contracts, and employment contracts of 12 months or more, currently present at the unit; if there is a surplus of 01, one additional representative will be elected.
- The winning candidate must receive more than 50% of the votes and must not have received any disciplinary action at the level of reprimand or higher;
- Contract employees with less than one year of service may attend the staff meeting at their unit but are not eligible to run for or be nominated.
2. TimeThe staff meetings of the units will be held between September 6, 2010 and September 20, 2010. Units that are ready may hold their meetings earlier.

II. Conference of Faculty and Staff at the University Level
1. Content+ Listening to and discussing the Board of Directors' report on the results of implementing the Resolution of the Staff and Faculty Conference for the 2009-2010 school year and the direction and plan for the 2010-2011 school year; + Summary report of contributions from various units to the draft report of the Board of Directors on the implementation of the Resolution of the Staff and Faculty Conference for the 2009-2010 school year and the direction and plan for the 2010-2011 school year; + Report on the school's finances; + Report of the People's Inspection Committee; + Launching the emulation campaign for the 2010-2011 school year.
2. Conference Attendees+ Ex officio delegates, including: Secretary of the Party Committee, Principal, Vice Principal, Chairman of the School's Trade Union, Head of the People's Inspection Committee, Secretary of the Ho Chi Minh Communist Youth Union of the School, Head of the Women's Affairs Committee of the School's Trade Union; + Delegates elected from the Staff and Faculty Conferences of the units.

III. Documents to be submitted to the School
Based on the above guidelines, units should submit their registration for the Faculty and Staff Conference, the summary report for the 2009-2010 academic year, and the plan for the 2010-2011 academic year to the University's Trade Union Office one week before the Conference so that the University leadership can schedule attendance. Within three days after the Conference, units should send the conference minutes and the list of delegates to the University's Faculty and Staff Conference to the Trade Union Office (Room 601, Building E). According to the requirements of Hanoi National University, starting this year, the University's Faculty and Staff Conference must conclude before September 30th annually. Therefore, heads of units are requested to plan and direct the organization of the conference in their units according to the schedule. The University's Trade Union Propaganda Department and the Political and Student Affairs Department should coordinate in implementing activities to publicize and introduce the University's Faculty and Staff Conference for the 2010-2011 academic year.
