Open Office Administration: oneright direction
This year is the first year that the Faculty of Office Management and Administration has 29 students receiving the Bachelor of Office Administration (QTVP) degree. The knowledge block on QTVP has been taught at the Faculty since 1997, but only 4 years ago, this major was separated into an independent training major.
Associate Professor, Dr. Vu Thi Phung (Head of the Department of International Relations) said that the construction of the training program for the International Relations major is truly the effort and dedication of the Faculty in the context that the position and importance of International Relations activities are increasingly recognized by businesses. Accordingly, the office area is the workplace of leaders and the staff assisting the leaders. This area plays the role of the brain of the agency and if well managed, it will contribute greatly to the success of the unit.
The Faculty's Office Administration training program provides students with specialized knowledge for managing and operating the entire office area of agencies, organizations and businesses. Graduates can perform well the basic tasks of a multi-functional office worker in small and medium-sized enterprises, and can also undertake specialized work in reception, clerical, secretarial, event organization, human resource management, facilities management... in large enterprises. If they have good capacity, they can take on the position of office department manager, special administrative assistant to leaders.
In terms of work skills, graduates of the Public Administration major are proficient in drafting documents, managing documents, archiving documents and are especially trained to be able to collect, process information and provide advice to leaders.
In addition, students are also taught specialized skills of modern, professional office workers to meet the increasing work pressure in highly competitive businesses and companies. These are communication skills, from communication with superiors, colleagues, subordinates to how to communicate with customers and partners. These are presentation skills, problem-solving skills and convincing leaders about the projects or tasks assigned to them. These are also conflict management skills in the office to balance relationships to serve the work; time management skills, work planning, how to deal with mistakes and overcome difficulties...
All knowledge is imparted to bring about training products that are future office workers with good professional attitudes, clearly understand their position, always proactive and creative in their work to contribute to the unit's activities. Right from the second year, students of QTVP have been given internships at businesses to have the opportunity to "examine" the theory learned into practice.
Ms. Do Thi Thanh (Director of the Administrative Department, Office of the National Assembly) highly appreciated the innovative and developmental thinking of the Faculty in creating the QTVP major suitable for practical needs. She gave an example of the position of secretary for leaders, which was previously weak in many units because it was mainly based on experience rather than formal training in professional skills. But up to now, this profession has been thoroughly trained at the Faculty, and that is a good thing. She also emphasized that the Faculty needs to promote and introduce information about the training products of this new major so that businesses and society can know more widely.
Mr. Nguyen Thanh Hoan (General Director of Vinavico, Chairman of the Vietnam-Asean Business Club) commented: The office area and the human resources working here must be the brain of the company. Enterprises today are increasingly being opened up about the importance of management activities. Therefore, the establishment of the QTVP major is a right direction for the Faculty.
Archival Training: Always Up to Date with Modern Knowledge
If QTVP is a new major, Archival Studies (LTH) is a traditional training major and has been the pride of the Faculty for more than half a century. The training products of this major have been evaluated and verified by domestic and foreign employers for a long time. The Faculty is not only considered the leading prestigious training unit in the country but also firmly established in the Southeast Asian region.
Associate Professor, Dr. Dao Duc Thuan (Head of the Department of Archival Studies) said: The training program of the Archival Studies department always aims to access modern knowledge of the world, not only continuously updated with knowledge on state apparatus management, application of IT in modern archiving but also includes new courses on digital archiving, modern thinking in archiving, archival mock-ups, archiving oral documents...
More than half of the human resources at the Faculty's traditional labor recruitment units at national archives centers, local archives... are products of the Faculty's training. LTH students have a wide range of jobs, from central and local agencies to political and socio-political organizations, state and private enterprises... The Faculty is also the cradle of training LTH lecturers for most universities and colleges in the country.
Mr. Han Manh Tien (Chairman of the Vietnam Association of Business Administrators) said that archival activities at units are also being re-evaluated, when archival documents on business activities over time are not only considered a material form but also documents with high spiritual value. In that context, the Faculty can expand professional and regular consulting activities on archival storage and display of archival documents for businesses.
Ms. Nguyen Thi Thu Hoai (Deputy Director of National Archives Center I) said that the Faculty has the right direction when contributing to changing the mindset about archiving activities in a modern direction. The development of the 4.0 revolution has made archiving in the form of electronic documents increasingly important compared to the previous way of archiving paper documents. That is, archiving and displaying in the form of encryption, QA barcodes... so that users only need a smartphone to be able to connect to the digital information library system.
In addition, many opinions from businesses suggest that the Faculty should invest in building an information portal, increase interaction via fanpage..., and introduce detailed information about the Faculty's training products to society periodically and regularly.
Also at the meeting, the Faculty of Human Resources and International Relations prepared and shared a profile containing basic information of the two majors and a contact list of new students who had just received their degrees to send directly to recruiting businesses.
