Faculty of LTH & QTVP connects the bridge to start-ups

Recently, the Department of Archival Studies and Office Management (LTH&QTVP) held a meeting with representatives from businesses and recruitment agencies to introduce the department's training products and propose solutions to promote closer ties between training institutions and employers.

The meeting was attended by representatives from many of the Faculty's traditional partners: Mr. Han Manh Tien (Chairman of the Vietnam Association of Business Administrators), Mr. Nguyen Thanh Hoan (General Director of Vinavico, Chairman of the Vietnam-ASEAN Business Club), Ms. Do Thi Thanh (Director of the Administrative Department, National Assembly Office), Ms. Nguyen Thi Thu Hoai (Deputy Director of the National Archives Center I), Ms. La Thi Duyen (Deputy Director of the National Archives Center III)...

Opening a new major in Office Management: onethe right direction

This year marks the first time the Faculty of Information Technology and Office Management has had 29 students receiving Bachelor's degrees in Office Management. While Office Management has been taught at the Faculty since 1997, it was only four years ago that this field of study was separated into an independent training program.

Associate Professor Dr. Vu Thi Phung (Head of the Office Management Department) stated that the development of the Office Management curriculum is truly a dedicated effort of the Faculty, given the increasing recognition by businesses of the importance and significance of office management activities. Accordingly, the office area is the workplace of leaders and their support staff. This area plays a crucial role in the organization's operations, and good management contributes significantly to the unit's success.

The Office Administration program at the Faculty provides students with specialized knowledge for managing and operating the entire office area of ​​agencies, organizations, and businesses. Graduates can perform the basic duties of a versatile office worker in small and medium-sized enterprises, and can also undertake specialized tasks in reception, clerical work, secretarial duties, event organization, human resource management, and facilities management in large enterprises. With strong capabilities, they can assume positions such as office department manager or special administrative assistant to leadership.

In terms of job skills, graduates of the Office Administration program are proficient in drafting documents, managing documents, archiving files and documents, and are especially trained to collect, process information, and provide advisory information to leaders.

In addition, students receive specialized training in the skills of a modern, professional office worker to meet the increasing work pressure in highly competitive businesses and companies. This includes communication and interpersonal skills, from communicating with superiors, colleagues, and subordinates to interacting with clients and partners. It also encompasses presentation skills, the ability to present issues and persuade leaders about assigned projects or tasks. Furthermore, it includes conflict management skills to balance relationships for work purposes; time management skills, work planning, and how to handle mistakes and overcome difficulties.

All the knowledge imparted aims to produce future office workers with a positive professional attitude, a clear understanding of their roles, and a proactive and creative approach to their work, contributing to the unit's operations. From their second year, students in the Office Administration program undertake practical internships at businesses, giving them the opportunity to apply learned theories to real-world situations.

Ms. Do Thi Thanh (Director of the Administrative Department, National Assembly Office) highly appreciated the Faculty's innovative and developmental thinking in creating the Office Administration major, which is in line with practical needs. She cited the example of the secretarial position for leaders, which was previously weak in many units due to relying mainly on experience rather than formal professional training. However, this skill is now being thoroughly trained at the Faculty, which is a welcome development. She also emphasized that the Faculty needs to further promote and disseminate information about this new training program so that businesses and society are more widely aware of it.

Mr. Nguyen Thanh Hoan (General Director of Vinavico, Chairman of the Vietnam-ASEAN Business Club) commented: "The office area and the workforce working there must be the brain of the company. Businesses today are increasingly aware of the importance of management activities. Therefore, the establishment of the Office Management major is a correct direction for the Faculty."

Archival Studies Training: Always Up-to-Date with Modern Knowledge

While Office Administration is a relatively new field of study, Archival Studies is a long-standing tradition and a source of pride for the Faculty, spanning over half a century. The graduates of this program have been evaluated and accredited by employers both domestically and internationally over a long period. The Faculty is not only recognized as a leading and prestigious training institution in the country but also holds a strong position in the Southeast Asian region.

Associate Professor Dr. Dao Duc Thuan (Head of the Department of Archival Studies) stated: The curriculum of the Archival Studies major always aims to access modern knowledge from around the world, not only continuously updating knowledge on the management of the state apparatus and the application of IT in modern archiving, but also incorporating new modules on digital archiving, modern thinking in archiving, fine-tuning archiving, archiving of oral documents, etc.

More than half of the workforce at the Faculty's traditional recruitment units, including national archives centers and local archives departments, are graduates of the Faculty. Faculty of Information Technology students have a wide range of job opportunities, from central and local government agencies to political and socio-political organizations, state-owned and private enterprises. The Faculty is also a training ground for lecturers in Information Technology for most universities and colleges nationwide.

Mr. Han Manh Tien (Chairman of the Vietnam Association of Business Administrators) believes that archiving activities in organizations are also being re-evaluated, as archival documents about business operations over time are not only considered a material form but also a document with high spiritual value. In this context, the Faculty can expand its professional and regular consulting activities on archiving and displaying archival documents for businesses.

Ms. Nguyen Thi Thu Hoai (Deputy Director of the National Archives Center I) stated that the Faculty has taken the right direction in contributing to changing the mindset about archival activities towards modernization. The development of the 4.0 revolution has made archiving in the form of electronic documents increasingly important compared to the previous method of archiving paper documents. This involves archiving and displaying documents in encrypted form, using QA barcodes, etc., so that users can connect to the digitized library information system with just a smartphone.

In addition, many businesses have suggested that the Faculty should invest in building an information portal, enhance interaction through its fanpage, and regularly and thoroughly introduce the Faculty's training products to the public.

Also at the meeting, the Faculty of Information Technology and Office Management prepared and shared files containing basic information about the two majors and a list of contact information for newly graduated students to send directly to recruiting companies.
