On December 15, 2009, the University held a meeting on undergraduate training to evaluate the work completed in the first semester and prepare for the second semester of the 2009-2010 academic year. The meeting concluded with the following main points:
1.Heads of units are directed to ensure the timely completion of key tasks from now until the end of the first semester of the 2009-2010 school year (see appendix). When carrying out these tasks, units should pay attention to the following:
a) Strictly implement the announcement from the Training Department (PTD) dated December 13, 2009. Pay attention to guiding and reorienting students, especially those in cohorts K53 and K54, regarding the training process; identify cases of students (especially K52) who have not registered for the normal number of credits for the semester (18 credits, excluding Physical Education and National Defense Education) in order to take timely action.
b) Regarding the first semester exams for cohorts K52, K53, and K54: Faculties should pay attention to strictly adhering to regulations regarding the compilation of lists of eligible students (including updating the list of students who have not yet paid tuition fees from the Planning and Finance Department), exam preparation, and the appointment of invigilators and examiners.
c) Regarding component grades for Semester I: Departments should remind lecturers to announce grades to students before the end of the semester; if lecturers have not announced them, the department should report to the Training Department so that they can announce them for students to check, avoiding incorrect/missing grades.
d) Preparation for teaching in the second semester of the 2009-2010 academic year: The Faculty will assign teaching duties now according to the timetable sent by the Training Department; at the same time, pay attention to updating the course schedules for any changes that may occur during the registration process, to avoid making multiple adjustments to teaching schedules.
e) Based on the credit accumulation progress analysis (see appendix) for K52 (4 semesters) and K53 (2 semesters) prepared by the Academic Affairs Department, the faculty directs academic advisors to clearly identify the list of students belonging to the groups mentioned in the table in order to have specific measures in advising students. Academic advisors must collect this document (students should be reminded to keep a copy) and coordinate with the Academic Affairs Department to review students' academic performance in the second half of January 2010 to prepare for supplementary classes for students after the Lunar New Year holiday.
2.Regarding adjustments to the training program.
- Unless absolutely necessary (e.g., for a final year project, internship, thesis), convert self-study credit hours to zero. Under no circumstances should discussion or assignment credit hours be directly transferred to practical credit hours. Instructions for organizing and implementing practical credit hours should be provided in the Training Program Implementation Guide.
- Carefully review prerequisite courses and develop a training program designed for each semester (note that for elective courses in different semesters, only the number of credits to be accumulated in each semester needs to be recorded to guide students). For courses within the major but currently under the management of another major, the faculty needs to provide specific proposals in the post-acceptance report so that the university has a basis for resolution, ensuring consistent course management within the university.
3.Regarding the use of course syllabi in teaching during the second semester of the 2009-2010 academic year.
- The courses taught in the second semester will continue to use the currently approved curriculum framework.
- Units that have not yet completed the acceptance of supplementary or revised courses must ensure that the acceptance is completed before January 30, 2010, at least for courses taught in the second semester.
- Guidance on adjusting course syllabi after curriculum revision will be available in January 2010.
4.Preparing graduation data for K51
- The Academic Affairs Department will create a spreadsheet for departments to use in evaluating graduation eligibility and printing full transcripts for students.
- The Department of Education and Training announced the decision that students' grades (D) for the 2006-2007 academic year would be converted to grades (C) according to the conclusions of the 16th meeting of the Steering Committee.
- Departments need to strictly adhere to the regulations regarding the publication of semester grades from the beginning of the course before the end of the first semester so that students can check their grades and prepare their graduation data in time.
5.The Training Inspection Board plans to specifically inspect the implementation of class activities as scheduled in the timetable, the submission of component scores for subjects in the first semester, and the preparation for teaching in the second semester of the 2009-2010 academic year.
The school requests that all units coordinate with the Training Department to strictly implement the above conclusions.
