- Could you please give us information about the training process for this major at the School?
In fact, this is not a new major, because this major has been trained at the University of Social Sciences and Humanities since 1997. At that time, the Department of Archives and Office Management of the University of Social Sciences and Humanities was the first and only institution in Vietnam to be allowed to train this major at the university level. In the past 17 years, QTVP has been trained together with Archival Studies (majors of Archival Studies and Office Management). Currently, due to the increasing demand for human resources in the field of QTVP in the labor market, as well as facing the need for self-development of this science, VNU has allowed the separation of the major of LTH & QTVP into two independent majors.
- Why is the demand for recruiting human resources in the field of QTVP increasing, Associate Professor?
Because the office is an existing area or department in all agencies and enterprises, the issue of QTVP - understood as organizing and operating the activities of the entire office area or department effectively - is the task and responsibility of all heads of agencies and enterprises.
For foreign agencies and enterprises, QTVP has long been considered an interdisciplinary science and is especially valued and widely applied in the fields of administrative management and business administration. Therefore, training human resources in QTVP (including managers, supervisors and staff working in offices) has become an inevitable need.
Although training has been deployed since the late 90s of the last century, up to now QTVP is still a new field of study, so the number of graduates has not met the needs of society. According to preliminary statistics, currently in Vietnam, the number of students trained in QTVP is only a few hundred bachelors / 1 year. Meanwhile, the offices of thousands of state agencies, social organizations, non-governmental organizations, especially the offices of about 500 thousand enterprises are operating and regularly have the need to recruit human resources in QTVP. Thus, it can be said that the demand and job opportunities of this field of study have and will continue to increase in the coming time.
- In the past, many people thought that office was a “desk job”, but now it is a job for dynamic and professional people. Can you share your opinion, Associate Professor?
Previously, the word "desk" was used to refer to the occupation of those working in indirect departments, with somewhat passive and boring work. Nowadays, the Office is where the leadership discusses and issues management decisions, and is the official contact and transaction headquarters of agencies, organizations, and enterprises with external agencies and partners. The Office is the place to collect and process information, organize and monitor, check, and evaluate the implementation results of issued management decisions. It can be said that the Office is a powerful advisory department for leaders and managers at all levels in organizing and operating the activities of agencies and enterprises. Therefore, to meet the requirements of integration and development, people working in the field of QTVP must be people with organizational and management thinking and methods; dynamic and creative; professional; proficient in administrative skills; Access to modern technology and high adaptability to circumstances are the only way to do a good job.
- So in the QTVP training program, what knowledge has the Faculty focused on providing so that learners can have the most necessary professional skills?
When building the QTVP training program for an independent industry, the Faculty designed specialized subjects focusing on the following knowledge blocks:
The first is theoretical knowledge.The course aims to equip learners with basic knowledge about Office and Office Administration; about the organization and operation of offices in state agencies, social organizations and enterprises; about the science of organization, management and operation; about the capacity and qualities of administrators and office managers; about the thinking and methods of implementing measures to help agencies and enterprises in: Managing information systems; Managing human resources, facilities and finances in the office; Applying quality management systems according to ISO standards...
Second is the block of professional knowledge and expertise., to help learners grasp and be able to properly perform the procedures and work procedures in the office such as: Office administrative tasks; Office work organization tasks; Consulting and synthesis tasks; Document and archive tasks; Office secretarial and reception tasks; Facilities management; Building office culture, corporate culture... If learners have a firm grasp of this knowledge, they will have enough capacity to take on many positions in the offices of agencies, organizations, and businesses.
Third is the knowledge block of administrative skills and soft skills., are essential for those working in modern and professional offices such as: Skills in drafting and issuing documents; Skills in managing and exploiting records; Communication skills; Skills in organizing meetings and events; Consulting skills; Presentation skills; Skills in collecting and processing information, Time management skills, Skills in controlling and resolving conflicts... These skills ensure that learners not only have the thinking, expertise, and professionalism but also the ability to adapt to the work, circumstances and relationships that are always changing in modern offices.
- What advantages does the Faculty have in training QTVP compared to other training institutions?
Currently, although there are a number of universities that train in the field of Office Administration, the Faculty of Archival Science and Office Administration - University of Social Sciences and Humanities has the advantage of being the first unit to train Office Administration in Vietnam and has nearly 20 years of experience. In the Recommendation of the Workshop "Cooperation in Research and Training on Office Administration in Vietnam" held in May 2011, delegates from many universities affirmed:The Faculty of Archival Science and Office Administration is a pioneer and holds the leading position among university training institutions in Office Administration in Vietnam..The Faculty is a place to train and provide lecturers and a bridge in proposing to organize seminars, workshops and other forms of cooperation between schools in research and training of human resources in office management.”.
The reason why the Faculty's reputation is affirmed is because, along with the pioneering responsibility in opening majors, in recent years, the Faculty has continuously innovated its training programs and methods, implemented many research topics, cooperated with universities, agencies, and enterprises to organize many scientific seminars on office management. Up to now, 100% of the Faculty's lecturers have postgraduate degrees, of which more than 50% have PhD degrees and academic titles of Professor and Associate Professor. The Faculty has many pioneering research projects in the field of office management. In addition, the open cooperation relationship with universities in France, Japan, Korea, Singapore, etc. has helped the Faculty's staff and students have the opportunity to exchange and integrate with the region and internationally. The training quality of the Faculty is confirmed through the survey results of high employment rate of graduates (95% after 3 months of graduation). The Faculty has participated in training quality assessment and is recognized as meeting national standards.
In the near future, the Faculty will propose to the University of Social Sciences and Humanities and the Vietnam National University, Hanoi to allow the implementation of master's training in International Relations, opening up opportunities for students to study and practice at higher levels after graduation.
