1. Purpose and scope of the thesis
1.1. Research Objectives
ButThe research aims to clarify the basic concepts of document valuation and the system of tools for document valuation.
- Analyzing and evaluating the current state of document valuation and the system of tools for document valuation in universities.
- Research on developing a system of tools to determine the value of university documents.
- A guide to building and using several document valuation tools for universities.
1.2. Research Subjects
This thesis is aimed at public universities in Vietnam.
2. Research methods used
The first,The synthetic analysis method is the most important method for scientific research in general and for determining the value of documents in particular.
MondayThe method of historical research is based on the study of historical sources. Archival documents are one of the most accurate sources for studying history. Each document reflects past historical events. Therefore, when developing a tool to guide the assessment of the value of documents generated in the activities of universities, it is necessary to apply the method of historical research to understand the value of documents associated with each historical period of the university.
Tuesday,The systems approach is used throughout the chapters to ensure consistency in the research process. Applying the principles of document valuation standards in universities within the same national education system requires a unified set of tools for document valuation.
WednesdayClassification is a method that helps authors identify the basic characteristics for classifying documents, build a catalog of records, classify records, and determine criteria to guide the identification of document sources and components.
ThursdayThe methods employed included direct interviews and questionnaire surveys. This practical approach was a key focus for the author during the thesis writing process. Specifically, the author developed survey questionnaires and directly visited several universities to interview leaders and archival staff regarding the organization of archival work, particularly the development of tools for determining document value, in order to gather information and data relevant to the thesis.
3. Main results and conclusions
3.1. Main results
In theoryThis dissertation systematically clarifies fundamental theoretical issues regarding document valuation and the system of tools for guiding document valuation, particularly the application of these theoretical issues to the practical work of building a system of tools for guiding document valuation in Vietnamese universities.
In practiceThe research findings of this thesis serve as a basis for universities to develop and issue guidelines on determining the value of archival documents in universities, such as document catalogs, source catalogs and document components for submission; document retention schedules, catalogs of documents with permanent value, and catalogs of documents that can be easily destroyed by the university.
3.2. Conclusion
- The thesis analyzed and clarified the practical, historical, and scientific values of archival documents created in universities.
- This thesis clarifies the current situation of university documents, which are often undocumented, scattered across functional units, and not centrally managed by the university's archives to maximize their value. This results in a significant waste of knowledge and experience contained in archival documents reflecting the country's higher education and training history.
- The thesis affirms the urgent need for universities to optimize their archives in terms of the composition and content of their documents. Achieving uniformity in document selection is a scientific issue requiring knowledge of the theory of document value assessment, as well as a system of tools to guide document value determination.
- The thesis proposes the development of a system of tools for determining the value of documents in universities, including a catalog of document files, a catalog of sources and components of documents submitted to archives, a table of document retention periods, a catalog of documents with permanent value, a catalog of documents that can be easily destroyed, etc.
- This thesis provides guidance on the process of developing several tools for determining the value of representative documents and how to use these tools to select documents for universities.
Despite the best efforts made to complete this thesis, there are undoubtedly unresolved issues and many other questions that the author wishes to explore further in the future.
THE ABSTRACT OF THE DISSERTATION

1. Research purposes and subjects of the thesis
1.1.Research purposes
- The thesis clarifies the basic concepts of document valuation and a system of tools for document valuation
- The dissertation analyzes and evaluates the situation of document valuation and the system of tools for document valuation in universities
- The thesis researches and develops the system of tools for document valuation in universities
- The thesis guides the development and use of some tools for document valuation in universities
1.2.Research tests
The subjects of the thesis are public universities in Vietnam.
2.Produce methods
The first method is analytic and synthetic, which is the most important one for scientific research in general and document valuation in particular.
The second method is the study of historical documents. Archives are one of the most accurate historical sources for historical research. Each document reflects historical events. Therefore, when developing a tool for determining the value of documents formed in the operations of universities, it is necessary to use the method of studying historical documents to see the value of documents associated with each historical stage of the university
The third is the systematic method, which is used in the chapters of the thesis to ensure consistency in the research process. The application of the standard principles of document valuation in universities within the same national education system should apply a uniform system of tools for document valuation.
The fourth is a classification method that assists the author to identify basic characteristics for classifying materials, developing catalogs, classifying records and identifying criteria to guide the identification of sources and document's components.
The fifth is direct interview and questionnaire which are practical methods the author attaches great importance to in the process of doing the thesis. specifically, the author has set up a survey questionnaire and personally come to a number of universities to interview leaders and archivists about the organization of archives and the development of tools for document valuation with an aim to collect information and data related to the thesis.
3. Main results and conclusions
3.1.Main results
In terms of theory: The thesis systematizes and clarifies the basic theoretical issues of document valuation and the system of tools for guiding through document valuation, especially the use of these theoretical issues in the practice of developing a system of tools for guiding document valuation in universities in Vietnam.
In terms of practice:The research results of the thesis are the basis for universities to develop and issue guidelines for the valuation of archives in universities such as records categories, source catalogs and compositions of documents filed; the time limit for the preservation of documents, document categories of permanent value, documents categories of simple cancellation in universities.
3.2. Conclusion
- The dissertation analyzes and clarifies the practical, historical and scientific values of archives formed in universities.
- The thesis clarifies that several of documents in universities have not been documented, still scattered at the functional units and/or not stored in universities for centralized management. Therefore, they have not promoted their values resulting in huge waste of knowledge and experience crystallized in archives reflecting the education and tertiary training of the country.
- The thesis affirms the urgency of archives in universities that is to optimize the compositions and contents of the documents. Uniformity in document selection is a scientific issue requiring the knowledge of document valuation and a system of tools for guiding document valuation.
- The thesis proposes developing the system of tools for document valuation in universities including records categories, source catalogs and compositions of documents filed; the time limit for the preservation of documents, document categories of permanent value, documents categories of simple cancellation...
- The thesis guides the process of developing a number of typical tools for document valuation and how to use them to select documents in universities.
Although the author has made great efforts to implement and complete the thesis, there are certainly some issues that have not been satisfactorily resolved or many other ones that have been suggested to the author continuing research in the coming time.
