June briefing meeting of the University of Social Sciences and Humanities

On June 5, 2023, Principal Hoang Anh Tuan chaired the June monthly meeting of the entire school. The meeting was attended by the Vice Principals, Secretaries of the Party branches, Heads of the school's affiliated units, and leaders of the various student organizations.

Overview of the Conference

On behalf of the Board of Directors, Principal Hoang Anh Tuan highlighted several achievements in May across all areas of work.
Regarding training: successfully organized the Vietnamese language proficiency assessment exam according to the Vietnamese language proficiency framework for foreigners, the HSA proficiency assessment exams of Vietnam National University, Hanoi, the entrance exam for grade 10 at the High School for Social Sciences and Humanities, and the first round of postgraduate admissions were conducted seriously and strictly according to regulations; basic training units have completed the adjustment of training programs according to the guidance documents of Vietnam National University, Hanoi and submitted them to the School's Training Department;
The accreditation process has yielded positive results: 7 training programs have officially received accreditation certificates, and 1 training program (Anthropology) accredited according to AUN-QA standards has also received very positive feedback from the evaluation council and is currently awaiting official results.
Administrative management: Implementing a synchronized E-Office system connecting all training units with the administrative block throughout the university; completing phase 1 of the wireless network (wifi) system and conducting trial runs from May 26, 2023; completing the student support and management app and launching it from May 18, 2023; upgrading and repairing facilities; ensuring a stable power supply to support teaching and learning for lecturers and students, and ensuring smooth work for staff.

Dr. Dao Minh Quan (Director of the Center for Communication and Information Technology) reported on the results of the project to build a wireless network (Wifi) system and deploy an app to support and manage students.
The project "Upgrading the Wireless Network System of the University of Social Sciences and Humanities - VNU Hanoi" was developed by the University of Social Sciences and Humanities, VNU Hanoi, starting in 2022 and officially launched in February 2023. With the expectation of building a synchronized and highly efficient internet network, ensuring operational capacity in a high-density access environment, and facilitating system management, the university researched and selected the most optimal technology solution from VinaPhone Telecommunications Service Corporation (VNPT Hanoi, part of the Vietnam Post and Telecommunications Group). Accordingly, the wireless network system at VNU-USSH has been invested in a synchronized, modern, and scientifically sound manner. This system provides high-speed internet connectivity for users, supporting management, training, scientific research, operational activities, and other functions. The system was officially put into use on May 26, 2023.
Regarding the Student App Development Project: On May 18, 2023, the Communication and IT Center collaborated with the Center for Digital University Administration (VNU) to officially launch the Student Support and Management App (hereinafter referred to as VnuStudentApp), a software designed to run on mobile platforms, compatible with popular operating systems such as iOS and Android. In phase 1, VnuStudentApp includes 10 main functions: (1) Updating news about the University's activities; (2) Sending new announcements from the University to students; (3) Sending and answering student questions and suggestions; (4) Registering for on-campus accommodation; (5) Searching for the student handbook; (6) Searching for the digital map; (7) Updating off-campus accommodation information; (8) Searching for administrative procedures; (9) Updating photo albums; (10) Searching for instructions on using VnuStudentApp.
In subsequent phases, VnuStudentApp will be regularly updated with new features to enhance student management and support. With the application, the latest news about university activities, academic announcements, scholarships, handbooks, guidance documents, etc., will be sent to students conveniently and efficiently. Through this application, students can also register for on-campus or off-campus housing, send their inquiries to relevant departments, and these departments will receive and respond directly through the application.

Head of Administration and General Affairs Department Nguyen Van Thuy shared more about the results of implementing the E-Office system throughout the school: to date, all documents have been sent to the units via the software. Therefore, he requested that heads of units note that when documents arrive, they should assign relevant departments to process them immediately to ensure the documents are up-to-date.

Vice Rector Lai Quoc Khanh emphasized that the results of implementing the E-Office software, upgrading the unified wireless network (wifi) system throughout the university, and the student support and management app over the past period demonstrate the determination of the Board of Directors as well as the great efforts of the relevant departments. Although a strong institution in the social sciences and humanities, the University of Social Sciences and Humanities has always been a pioneer in the Vietnam National University, Hanoi, in effectively implementing digital transformation and applying information technology in teaching, learning, and university administration.

According to Kim Thi Diep Ha, Head of the Planning and Finance Department, the university's 2022 audit program has concluded, basically assessing that implementation was correct and ensured compliance with state regulations. Six programs have received certification and submitted their applications to the Vietnam National University, Hanoi for approval of tuition fees based on economic and technical standards. For other training programs, once accreditation certificates are received, the Planning and Finance Department will continue to finalize the dossiers for submission to the Vietnam National University, Hanoi.

After listening to the discussions and opinions at the briefing meeting, the Principal concluded by emphasizing several key tasks for May:
- Strengthen substantive, multifaceted, in-depth, and closer cooperation with the University of Social Sciences and Humanities, Vietnam National University Ho Chi Minh City: from reference and comparison to collaborative work. In addition to departments that have been doing well (university administration) for several years, training units should promote cooperation not only through student, trainee, and lecturer exchanges, participation in councils and academic activities, but also through mutual credit recognition. A few disciplines in certain units should be selected as pilot projects (such as the Faculty of History and the Faculty of International Studies) and then expanded to the entire university, encompassing all disciplines offered by both universities.
- Effectively organize the Conference on Developing Key Plans for the 2023-2024 school year on June 21-22, 2023: the relevant departments will organize meetings and review key contents in detail and with care. Unit heads should arrange their work schedules to ensure full attendance.
- Currently, all units have completed the supplementary planning work. The School's leadership will meet to approve and implement the work of the School Council.
- Finalize programs according to economic and technical standards to prepare for the announcement of the enrollment plan and tuition fees; continue to promote the plan and ensure the progress of programs undergoing accreditation in 2023.
- The Training Department, in coordination with training units, will continue to review the number of graduating students to provide timely support; and implement an effective summer semester plan (meeting the needs of learners).
- Student care needs to be more substantive and effective: Innovating and improving the quality of training programs is not just about changing the curriculum content, but most importantly, it's about innovating the mindset, expertise, methods, and teaching style of the instructors. This will create enthusiasm for learning and provide maximum support to students throughout their studies and research. This is the most fundamental factor in attracting and retaining students and improving the quality of education. In addition, all other departments: administration, training, politics, student affairs, communication, etc., must also participate more decisively and effectively.
- The head of the unit needs to ensure that all staff and lecturers understand the importance of safety, economical and efficient use of electricity and water; ensure the synchronized operation of the infrastructure system (especially during the summer); and combine repairs and replacements of equipment to prepare for the new school year.
