The scientific conference "Digital Transformation in Office Management" is not only a forum for scientists, researchers, trainees, students, and practical experts in the fields of office management and information technology to discuss the issues arising from digital transformation, but it is also a particularly significant event demonstrating the more than 20-year tradition of cooperation between the two training institutions in office management human resources and the two-year cooperation agreement signed between the two universities.
Speaking at the conference, Dr. Phan Thanh Dinh (Vice Rector of the University of Social Sciences and Humanities – Vietnam National University Ho Chi Minh City) emphasized: In the current context, the office is an indispensable functional department in any agency or organization. Digital transformation in office management is of great importance not only to office work but also to the operations of agencies and organizations; digital transformation is both a requirement and a need. Therefore, research on digital transformation in office management, both theoretically and practically, is very important and necessary.
Vice Rector of the University of Social Sciences and Humanities – Vietnam National University Ho Chi Minh City, Phan Thanh Dinh, delivered the opening speech.
Rector of the University of Social Sciences and Humanities, Vietnam National University, Hanoi, Hoang Anh Tuan, shared: "The conference is an important link for the two universities in particular and higher education institutions in general to continue promoting digital transformation in the coming time. The conference contributes to clearly demonstrating the core strategy that the two humanities universities at opposite ends of the country have agreed upon: taking academia as the foundation, considering modernity and integration as trends to contribute to the overall development of the country."
Rector of the University of Social Sciences and Humanities, Vietnam National University, Hanoi, Hoang Anh Tuan, delivered a speech at the conference.
The conference received 50 scientific papers from authors from various agencies, organizations, and businesses nationwide. The largest number of papers were from lecturers, researchers, postgraduate students, and undergraduates from institutions training in Office Management at Hanoi National University, Ho Chi Minh City National University, the National Academy of Public Administration, Saigon University, etc. In particular, the conference received many papers reflecting the practical aspects of digital transformation in office management at the Central Party Office, the offices of ministries and agencies; the offices of provincial People's Committees; the offices of administrative and public service agencies; and some technological solutions for the offices of businesses.
The discussions focused on several key areas: theory and practice; opportunities and challenges; roles and responsibilities; and proposed solutions for successful digital transformation in office management. The information, data, and evidence presented were drawn from a wide range of sources: from the Party and State's policies on digital transformation; from research by domestic and international scientists; from the practical implementation of digital transformation in state agencies, administrative and public service units, corporations, and conglomerates; and from forecasts of the development trends of digital transformation in office management.
The workshop took place in two sessions, morning and afternoon, with 7 scientific presentations and numerous direct discussions in the hall. The presentations and discussions reached a consensus on the following four issues:
1. Digital transformation in office management plays a pioneering role and is a crucial foundation for implementing digital transformation in agencies, organizations, and businesses.
2. The main role of the office in implementing digital transformation is to create and transform digital data, convert work processes into digital form, process data for advisory and synthesis tasks of the office, ensure the physical conditions for the transformation process, and support the training of office staff for successful digital transformation.
3. Digital transformation is gradually changing office operations, including the emergence of new office models, specialized office applications, changes in office organizational structure, and more streamlined and efficient work processes.
4. As digital transformation becomes increasingly prevalent, many shortcomings of offices in various agencies and organizations have become apparent. Office staff lack the necessary information/digital skills, organizational structures are complex, data connectivity is lacking, workflows involve many unnecessary steps and intermediaries, and are not based on shared data for streamlining. While technological solutions are abundant, they are not sufficiently secure or synchronized, leading to unnecessary risks and difficulties.
The workshop took place in an atmosphere of lively, open, and frank exchange. Scientific issues were approached thoroughly from multiple perspectives, and many feasible interpretations were put forward. However, according to the scholars and the organizing committee, some issues of the workshop still need further research and clarification in the future.
1. The roles and responsibilities of agencies, businesses, office managers, and especially research and training institutions specializing in office management, in the digital transformation process in Vietnam.
2. Useful technological solutions that need to be implemented to further promote digital transformation in office management;
3. Some solutions, experiences, and achievements of countries around the world in implementing digital transformation and training digital capabilities and skills for office management human resources; issues requiring continued cooperation in research and training on digital transformation in office management in Vietnam…
