Attending the handover ceremony, on behalf of the University of Social Sciences and Humanities were Prof. Dr. Hoang Anh Tuan (Rector), Assoc. Prof. Dr. Lai Quoc Khanh (Vice Rector), along with representatives from the Administration - General Affairs, Politics and Student Affairs, Cooperation and Development, Training, Planning - Finance, and the Center for Information Technology Training and Application. On behalf of the University of Technology, Vietnam National University, Hanoi (the software development unit) were Assoc. Prof. Dr. Nguyen Viet Ha (Rector) and Mr. Vu Ba Duy (lecturer in the Faculty of Information Technology).
Currently, the application of information technology (IT) in education and training management, and in resolving administrative procedures for students, has become an inevitable trend. This is also a policy that the Ministry of Education and Training and Hanoi National University are particularly focusing on. In implementing this policy, the University of Social Sciences and Humanities, in collaboration with the University of Technology, Hanoi National University, has developed a one-stop administrative procedure support system for its students.
Vice Rector Lai Quoc Khanh, who directly supervised the system development team, shared: "The initiative to build a one-stop administrative procedure support system for students has been long considered by the university leadership and officially launched in mid-July 2022. With close guidance from the university leadership, staff from the Center for Training and Application of Information Technology, along with the Political and Student Affairs, Training, Planning - Finance, and Administration - General Affairs departments, collaborated with experts from the University of Technology to actively implement the work items. By early September 2022, the system was completed on schedule. The university organized two training sessions for staff directly using the system from the relevant departments. To date, students can access and use the system's features." Vice Rector Lai Quoc Khanh emphasized that technology is an important supporting tool, but what is more important is the scientific nature of the work process, the sense of responsibility, and the dedication that the school's staff put into handling matters related to students. Only with all of these elements can technology fully realize its value.

Associate Professor Lai Quoc Khanh (Vice Rector of the University of Social Sciences and Humanities) delivered a speech at the Handover Ceremony.
On behalf of the system development team, Mr. Vu Ba Duy, M.Sc., reported on the implementation process, objectives, main functions, and methods of managing and using the One-Stop System.
MSc. Vu Ba Duy introduced key information about the one-stop administrative procedure support system for students.
With this system, students only need to use their assigned Hanoi National University email account to log in and request the resolution of many administrative procedures completely online: requesting student certificates, transcripts, exam postponement, exam review, tuition fee deferral, social welfare confirmation, bank loan confirmation, student ID card replacement, temporary graduation certificate, temporary leave of absence, continuation of studies, bus ticket confirmation, course transfer, internship recommendation letter, student housing rental confirmation, and profile updates.
All requests will be forwarded to the relevant department for processing. Information on the status and processing results will be updated on the system, and students can easily check it.
Thus, this system will minimize the need for students to visit the university and complete administrative procedures directly at the university's departments. In addition, students can track the progress and results of their requests through this system.
Interface of the One-Stop Software System
In addition, the system provides relevant departmental staff with tools to manage, process, and respond online to student requests, thereby reducing the time and effort staff spend on handling administrative procedures for students. The quality and efficiency of work are also improved.
Speaking at the handover ceremony, Rector Hoang Anh Tuan congratulated and acknowledged the success of the plan to build a one-stop administrative procedure support system for students. He stated that the application of information technology in university administration is an inevitable trend. Furthermore, the successful development and effective operation of the system demonstrates the university's commitment to innovating student management and support in a student-centered manner, providing better care, advice, and support. Rector Hoang Anh Tuan also thanked the University of Technology for its close cooperation and expressed confidence that, in the future, the two universities will continue to have many effective collaborative activities in strengthening the application of information technology in training, scientific research, and university administration.
