Chapter 1. The necessity of optimizing the Archives of inactive agencies at the Bac Giang Provincial Historical Archives

This is an introductory chapter, which is the basis for the main content of chapters 2 and 3. The main content of this chapter is to study the necessity and practical requirements that require optimizing the inactive archives at the Provincial Historical Archives. Initially, we study the current situation of the inactive closed archives at the Bac Giang Provincial Historical Archives and raise the need to optimize the documents for those archives.

Chapter 2: Current status of optimizing the archives of inactive agencies at the Bac Giang Provincial Historical Archives

In this chapter, we present the results of the current survey and evaluate the achieved results, the completed products after re-determining the document value of the closed document files of some files being preserved at the Bac Giang Provincial Historical Archives: Components of records, documents, preservation period, content of documents, components of additional documents (if any)... From there, the author gives some objective comments and assessments of the organization of re-determining the preservation period of archival documents in closed archive files. At the same time, the author analyzes in depth the advantages and disadvantages of optimizing closed archive files, pointing out the effectiveness; objective and subjective causes leading to those shortcomings and limitations. This is the basis for the author to complete and make recommendations in chapter 3.

Chapter 3: Solutions to improve the optimization of Archives of inactive agencies at the Bac Giang Provincial Historical Archives

This is the central chapter of the Thesis, summarized from the theoretical basis in Chapter 1 and the practical situation in Chapter 2. Based on the assessments and comments from Chapter 2, the author proposes a number of solutions to improve the efficiency of optimizing closed archives, solving the set goals, minimizing the existing problems and limitations to manage and organize the most effective exploitation of the archives currently preserved at the Provincial Historical Archives.

The thesis has reflected the purpose of the topic, and at the same time proposed feasible solutions, suitable for practice, overcoming the shortcomings and limitations in the optimization of archives.

11. Practical application:

The research results of the thesis are reference documents to help state management agencies on archives in developing documents and policies related to optimization, determining the value of archives, applying them in practice, contributing to improving the quality of archives work in Bac Giang province in particular and the whole industry in general.

After completing the thesis, we will continue to research and propose the state management agency on archives (Department of Home Affairs of Bac Giang province) to conduct a provincial/grassroots-level scientific research project on optimizing the archives of inactive agencies at the Bac Giang Provincial Historical Archives.

Chapter 1: The Need of Optimizing the Archive fonds of agency that was deactivated in Historical Archives of Bac Giang Province

This is a critical chapter, being the basis chapters 2 and chapter 3. The main content of this chapter is to understand the necessity and the requirements of reality that require Optimizing the Archive fonds of agency that was deactivated in Bac Giang Province. It is initial investigation the situation of closed archives fords has stopped working in Bac Giang's Historical Archives and giving the need to optimize the data for these fonts.

Chapter 2: The situation of Optimizing the Archive fonds of agency that was deactivated in Historical Archives of Bac Giang Province

In this chapter, we present the results of a status survey and evaluate the achieved results, the compiled product after the revalidation value of the closed fonts at Bac Giang Historical Archives: Components of records, records, retention of records, content of records, additional components (if any) ... From there, the author proposes some reviews and objective assessments about the re-organization of retention in closed archives. At the same time, the author in-depth analysis of the advantages and disadvantages optimization, indicating the efficiency; Objectively, subjective causes leading to these disadvantages.
